Level Up Coach CRM is operated by Level Up for its four authorized founders. We access a connected Gmail account only after Google authorization, to send founder-approved recruiting emails, match replies, and manage the athlete's outreach. We store athlete profiles, coach contacts, approved drafts, conversation history, delivery records, and encrypted Google tokens on our private VPS. Relevant replies and requested drafts are shown in our private Slack channel. Founder-requested drafting uses Hermes with the team's configured OpenAI account. Email content is treated as data, never as authorization. We do not sell mailbox data, use it for advertising, or use it to train models. Access to Google data follows the Google API Services User Data Policy, including its Limited Use requirements. Founders can disconnect an account, export its CRM records, or request permanent deletion through Hermes. Archived records remain until explicitly purged. Encrypted local backups expire after 30 days; Slack copies follow the workspace's retention settings. Disconnecting or closing an athlete stops future sends and removes locally stored Gmail tokens.
